From January 1, 2026, the new Government Regulation No. 322/2025 Coll. on the obligations of employers in the event of work-related accidents will be in force, replacing the previous Government Regulation 201/2010 Coll. Every employer must keep an accident book — for all accidents, including those that did not lead to incapacity for work. The records can be electronic. Most companies today keep them in Excel or in a pre-printed paper book. The data is then not linked anywhere, the employee's name is copied manually, someone has to calculate the accident statistics and during the inspection by the labor inspectorate, they have to look for where everything is.

The accident book moves this agenda to where the company data already is — to HELIOS. The record structure complies with the requirements of Section 3 of Government Regulation 322/2025 Coll., including the classification of the type of injury and the injured body part according to the European ESAW methodology; source and cause of injury code lists ensure uniform entry and usable statistics. Organizations that care for clients in addition to employees also have a variant overview Client Injuries. The records of injuries to children, pupils and students are governed by different rules — Decree No. 64/2005 Coll. according to the Education Act — with a different record structure, a different deadline for registration and a different form of the injury record. Both agendas are therefore kept separately, in the correct structure, but over one solution and in one system.

Data lock, overviews, printing

The completed record can be locked; the system records who performed the locking. The record is therefore not a freely rewritable table, but a conclusive record — which is a significant difference during a labor inspection. Statistical overviews can be created at any time over the records — accident rate by department and workplace, period, type of accident, source or cause, including the total number of days of incapacity for work — and printouts: an extract from the accident book for employees at their request, a basis for recording an occupational accident, and reports for internal and external OHS inspections. The solution is simple: one table, no complex implementation, deployment in a matter of hours. Verified in production operation.
